You are the CEO of Fedcap. Even though performance has been stellar, a division just lost a large contract due to government spending cuts. This will result in the need to realign some job descriptions and responsibilities. You hope to avoid layoffs by making these adjustments and cutting expenses in other places but laying off some staff may be inevitable. You have to share this news with the different stakeholder as you’ve just learned it will be announced publicly in a day or so. Even though you haven’t had a chance to walk through the possibilities or figure out a plan you need this information to be heard from you and not someone on the outside.

To the Director in Charge of the Division

I wanted to speak to you as soon as possible because I have some alarming news I need to share with you and have a possible solution on how we can reduce the negative effects. I just found out that we have lost the biggest contract in your division. I know this is really disappointing as you and your staff have done so well this year and exceeded your goals. I know that a lot of hard work went into this and it can seem as the work is not recognized by this action. I want you to know that myself and the rest of the executive leadership recognize all the hard work and we are really committed to developing your division.
I thought a lot about this and the positive news is I think we can avoid layoffs but in order to be able to maintain budget with the current incoming funds we are going to have to realign job descriptions for a number of roles.

I chose to deliver the message in person to the director. I think it’s really important for relationship building to delivery important positive and negative message in person. This way you can see the person’s reaction as well be able to respond to any possible concerns. Delivering important messages in person helps the receivers of the message feel that you value their work and commitment to the organization. I would be also interested to hear the Director’s response to the news and my proposal and have dialogue.
To the three supervisors who run aspects of the contract and who report to the Director in charge of the division

I know this is extremely disappointing given your stellar performance this year. I think it is important to share the bad news to support the Director (only after I had first communicated to him/her) and then let the Director lead the conversation with the supervisors since they are more equipped to know what changes might work best and this would allow a potential plan to receive more buy in from line staff.

First of all I want to start off by congratulating you on a great year and stellar performance. I know how much hard work was put in this year and it is very rewarding to see such great results.
However, the reason for gathering you here today is to provide an update on a less joyful note. We have just found out that we have lost our largest contract due to government spending cuts. This was in no way determined on our performance and there is nothing more you could have done. I wanted to share this with you all as soon as possible and to hear it directly from me first and transparently.
While this will have a big impact on our operations this year, I am pleased to share that we currently not going to be conducting any layoffs. However, due to loss of revenue in order to sustain our operations with a smaller budget we will be realigning some job descriptions and responsibilities. In this time of change I ask you to be open minded to operating differently but at the same encourage you talk through and approach with any challenges. While I can’t deny this will be a challenging year for all of us, I think we can also look at it as learning experience that will allow us to become stronger and based on our performance this year, I believe we have the capacity to get through this together and win new opportunities when they come up.
